I currently collect and process the following information:

Personal identifiers, contacts and characteristics (for example, name and contact details)

How I get the personal information and why I have it

Most of the personal information I process is provided to me directly by you for one of the following reasons:

To enable Gentle Sorting to provide you with a service

To take payment after the service has been provided

To keep you updated with Gentle Sorting’s services

I may share this information with the Monzo Business banking app to process payments.

Under the General Data Protection Regulation (GDPR), the lawful bases I rely on for processing this information are:

(a) Your consent. You are able to remove your consent at any time. You can do this by contacting Katharine Wall at gentlesorting@mossymargins.org 

(b) I have a contractual obligation

How I store your personal information

If collected, your full name and address are securely stored in a filing cabinet. I keep your full name and address for two years after completing work with you. I will then dispose of your information by shredding it.

Your full name is securely stored as part of Gentle Sorting’s accounts. I keep your name for five years after the end of the tax year the work was completed with you, in line with the requirements from HMRC. I will then dispose of your information by deleting it.

Your email address is securely stored as one of my client contacts. I keep this information until you unsubscribe from my mailing list or by emailing gentlesorting@mossymargins.org when it will be deleted from my contact list. 

Your data protection rights

Under data protection law, you have rights including:

Your right of access – You have the right to ask us for copies of your personal information.

Your right to rectification – You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.

Your right to erasure – You have the right to ask us to erase your personal information in certain circumstances.

Your right to restriction of processing – You have the right to ask us to restrict the processing of your personal information in certain circumstances.

Your right to object to processing – You have the the right to object to the processing of your personal information in certain circumstances.

Your right to data portability – You have the right to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances.

You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
